What could this idea change?
It turns member energy into visible, organised action that is easier for other people to join.
It may suit: Members and community volunteers who may take part, plus the people organising the work.
A simple way to start
- Define the decisions the tracker must support, test lower-data alternatives and remove every field that does not directly help with workload, support, delivery or closeout. Who could lead it: Club board delegate and privacy contact
- Co-design simple status and workload signals with members and role sponsors, including an easy help, change, handover and correction route. Who could lead it: Member-experience lead and member reference group
- Explain collection, visibility, prohibited uses, retention and member choices and provide an accessible non-digital update route before any record is created. Who could lead it: Tracker custodian
- Collect brief role or project updates at agreed intervals, restrict access and trigger a private support conversation when workload, delay or uncertainty reaches the agreed threshold. Who could lead it: Role sponsors and tracker custodian
- Agree help, scope change, shared work, handover, pause or closure with the member and record only the operational outcome rather than private reasons. Who could lead it: Role sponsor and member
What should we look for?
- After 90 days, review Member Contribution Tracker. Look for roles being filled by choice, responsibilities being understood and useful work being completed without avoidable overload.
- Tracker fields demonstrably linked to workload, support, delivery or closeout decisions.
- Support signals receiving a private response within the agreed period.
- Overloaded work shared, reduced, paused or handed over rather than remaining with the same members.
- Closed personal records deleted on schedule and no public ranking or unrelated reuse detected.

- Are the facts, permissions and Rotary branding right?
