Volunteer Appreciation Lunch

Use Volunteer Appreciation Lunch to make recognition timely, genuine and fair across visible and behind-the-scenes contributions.

What could this idea change?

It makes a wider range of contributions visible and strengthens the club's culture of appreciation.

It may suit: Members and volunteers whose contributions may be recognised, and the people nominating or celebrating them.

A simple way to start

  1. Confirm the volunteer groups, partner-approved contribution and contact basis and approve no-ranking, no-recruitment and recognition choices. Who could lead it: Volunteer lead and partner contact
  2. Plan an accessible and affordable lunch plus equivalent written, delivered, online, team and private appreciation routes. Who could lead it: Event and access leads
  3. Invite volunteers with accurate conditions and separate attendance, food, access, media, membership and future-contact choices. Who could lead it: Invitation contact
  4. Verify numbers, dietary and access arrangements, brief hosts and keep volunteer information restricted to event delivery. Who could lead it: Registration and venue leads
  5. Deliver concise collective thanks, partner-confirmed outcomes and optional conversation without public hour, attendance or contribution comparison. Who could lead it: Host and partner representative

What should we look for?

  • After 90 days, review Volunteer Appreciation Lunch. Look for a wider range of contributions being recognised, with consent, and for recipients reporting that the recognition felt appropriate.
  • Volunteers receiving a chosen form of appreciation whether or not they attend lunch.
  • No hour, attendance or member-status ranking used in recognition.
  • Food, access, cost, transport, media and contact choices communicated and followed.
  • Event and contact information deleted after chosen follow-up is complete.

Before we say yes

  • Does it fit a real local need?
  • Can people take part safely and fairly?
  • Are the facts, permissions and Rotary branding right?
  • Who will lead it, and when will we review it?
