Keep it simple

Do not count activity just for the sake of it. Note where things stand now and collect only what will help the club decide whether to change the idea, continue it or stop.

After 90 days, review Member Pulse Surveys. Look for representative participation, published themes, named actions and a report back on what changed, what did not and why.
Every pulse names one decision, uses only necessary questions, publishes a privacy and access statement and reports a board response by the promised date.
Reach is assessed across safe broad participation groups, with missing voices and possible response bias disclosed rather than converted into an overall satisfaction claim.
Accepted actions have owners and due dates, and progress or closure is reported before the club asks members the same or a related question again.
Members can identify what changed, what did not and why, while privacy incidents, small-cell disclosure and unowned urgent concerns remain at zero.
