Transparent Board Digest
Members understand decisions, actions and opportunities without added meetings.
Developed further: this summary now draws on an initiative-specific internal editorial draft and attributed references. Human review has not started and will open only at the Full-Corpus Review Build.
What could this idea change?
It gives the club a clearer view of people's experiences before decisions are made, including feedback that informal conversations can miss.
It may suit: Current and emerging club leaders, along with the members who work with or support them.
A simple way to start
- Agree the digest policy and template, map applicable governing and record requirements and identify categories that may be summarised, delayed, referred or excluded. Who could lead it: Board, secretary and governance adviser
- After each board meeting, confirm the authorised source record, decisions, broad reasons, actions, owners and next member opportunities and keep discussion or proposals distinct from decisions. Who could lead it: Secretary and action owners
- Draft a one-page plain-language digest using consistent headings, links and dates, then remove unnecessary personal, confidential, legal, commercial, complaint, safeguarding and third-party material. Who could lead it: Digest editor and privacy reviewer
- Check every statement against the authorised record, record conflicts and redactions, confirm actions with owners and obtain the approval required by the digest policy. Who could lead it: Secretary, chair and independent checker
- Publish through accessible member channels with the period, status, question and correction route and links to any authorised public or member records without implying access to excluded material. Who could lead it: Communications and accessibility leads
What should we look for?
- After 90 days, review Transparent Board Digest. Look for representative participation, published themes, named actions and a report back on what changed, what did not and why.
- Every digest item can be traced to an authorised decision, noting or action record and is labelled accurately as decided, under consideration, referred or completed.
- Every action has an owner, due date and progress or closure status that appears in a later digest until resolved.
- The digest is issued on time in accessible member formats and questions and corrections receive an accountable response.
- Unsupported claims, leaked confidential information, misleading substitutions for formal minutes and unresolved material corrections remain at zero.
Before we say yes
- Does it fit a real local need?
- Can people take part safely and fairly?
- Are the facts, permissions and Rotary branding right?
- Who will lead it, and when will we review it?
