What could this idea change?
A consistent welcome helps people build relationships sooner and understand how they can take part.
It may suit: New and prospective members, and the club members helping them settle in.
A simple way to start
- Interview three recent members about the first questions they had, the club knowledge they could not find and the information they received before it was useful. Who could lead it: Onboarding coordinator
- Build a concise pack around a first-90-days map, named contacts, the next three suitable opportunities, club costs and customs, accessibility information and links to current official Rotary learning. Who could lead it: Welcome pack editor
- Create a four-prompt Rotary Wins Journal covering a person met, something understood, a contribution made and a question to pursue; state plainly that entries belong to the member and are not collected by the club. Who could lead it: Member experience lead
- Ask the new member about interests, preferred contact, availability and access needs, then highlight only the contacts and opportunities that fit their answer. Who could lead it: Member's welcome contact
- Hand over the pack in a short conversation, show where to find changing information, introduce one named contact and agree one next step rather than reading the pack aloud. Who could lead it: Member's welcome contact
What should we look for?
- After 90 days, review Welcome Pack & Rotary Wins Journal. Look for agreed early steps being completed, at least one useful club connection and every promised follow-up being delivered.
- New members receiving the current pack and a personal handover within seven days of induction.
- New members able to locate a named contact, the next suitable activity, full participation costs and an access route without assistance at the 30-day check-in.
- Members completing their own agreed first step within 30 days, whether or not they use the journal.
- Number of stale links, contacts or dates found at each quarterly content review.
