  • Local government, community, First Nations, business, education, health, service and emerging leaders relevant to the selected issue. Use when a small group of leaders can unlock coordination, information or a next public process.

Before you start

  • A purpose statement, invitee matrix, conflict register and clear boundary between relationship-building and decision-making.
  • A concise sourced briefing and agenda that allocates time beyond keynote remarks.
  • Venue accessibility, catering and dietary controls, sponsor terms, privacy settings and a public summary plan.

At the end: Send the neutral public note and private action confirmations within five business days, then check each accepted introduction after 30 days without circulating attendee data broadly.

Before your club says yes

Does the idea fit?

Talk with the people it is meant to serve and check that the need is real.

Who can say yes?

Name the person or group that can approve the work, spending and any safety arrangements.

Are people protected?

Check privacy, consent and safety. Collect only the information you genuinely need.

Can everyone take part?

Check the language, format, place, technology and cost for barriers.

Are the facts and permissions right?

Check names, claims, images, quotations, partner references and Rotary branding.

How will we learn?

Note where things stand now, check in at 30, 60 and 90 days, and decide what to do next.
