Why a club might use this
Appropriate capability, reach or resources are combined around a defined outcome without overstating endorsement, hiding exchange or shifting uncontrolled risk.
Use it when
- Decision-makers in businesses, community organisations and institutions with a credible connection to an identified community outcome. Use when a specific community outcome needs capability or reach that a suitable partner may provide.
Before the club starts
- Verified Rotary capability, project facts and a clear statement of what cannot yet be promised.
- Partner research, conflict check, authorised contact route and minimum necessary professional details.
- Decision and action record, due dates and a secure location for proposals and review evidence.
- Proportionate finance, legal, privacy, safety, safeguarding, brand, insurance or IP review for the actual exchange.
Capacity guide
- Likely cost
- One-to-one source allowance $20-$50 for meeting materials; breakfast overlay source allowance $150-$500. Neither is a complete partnership cost, so budget discovery separately from proposed delivery.
- Lead time
- A first approach or small meeting may take 2-3 weeks; the breakfast overlay 3-4 weeks. Scoping, authority and review set the partnership cycle and may take substantially longer.
- People
- One accountable partnership owner, 2-3 authorised Rotary representatives, a record/action owner and specialist decision reviewers; the breakfast adds one coordinator and 2-3 hosts.
Controls and safeguards
- Proceed only when mutual value, authority, commitments, specialist conditions, review and exit are explicit; use a pilot, refer upward or close the opportunity when fit or capacity is insufficient.
- Approve use of each party's name, mark, quotation and claim; a meeting or invitation never implies endorsement.
- Offer accessible discovery, meeting, breakfast and document routes and ask about practical participation needs.
What to measure
- Approached organisations with a recorded fit rationale
Follow-up: Send the agreed discovery record, complete due-diligence actions, keep promises and no-go reasons visible, conduct the scheduled partner review, and close data, brand, asset and financial obligations when the relationship ends.
