What could this idea change?

People receive one relevant prompt, useful information or practical opportunity in a respectful interaction that does not require formal event attendance.

Could this work in our club?

  • A defined group already present at a market, festival, street, outdoor gathering or host event. Use when a specific public setting already gathers an audience for whom one Rotary interaction can be useful. Confirm that the Civic Festival Activation mode fits the local setting before adapting it.

Before you start

  • Host or site permission, organiser conditions, location-specific access, safety, weather and emergency review.
  • Approved current facts, marks, images, co-brand treatment, frequently asked questions and defer-or-refer route.
  • Roster, induction, breaks, setup, manual handling, incident, pack-down and asset-return controls.
  • Where CP-16 applies, a current approved referral directory, prohibited-action boundary and secure escalation route.

At the end: Complete every promised response, thank and debrief the host, secure or dispose of captured information, clean and inspect the kit, retire temporary routes and update only the affected overlay before the next deployment.

Does the idea fit?

Talk with the people it is meant to serve and check that the need is real.

Who can say yes?

Name the person or group that can approve the work, spending and any safety arrangements.

Are people protected?

Check privacy, consent and safety. Collect only the information you genuinely need.

Can everyone take part?

Check the language, format, place, technology and cost for barriers.

Are the facts and permissions right?

Check names, claims, images, quotations, partner references and Rotary branding.

How will we learn?

Note where things stand now, check in at 30, 60 and 90 days, and decide what to do next.
