1. Is this worth trying here?

What we hope will change: Takes a compact, evidence-led Rotary experience to several communities, adapting the invitation to each place while retaining one controlled message, kit and follow-up system.

2. Our 90-day try-out

What our club will do for Rotary Awareness Roadshow
StepWhat we will doWho could lead itOur dateHow we will know it is done
1Prioritise locations using awareness, access and partner-readiness evidence.Roadshow Lead
2Co-design each stop's audience, local story, venue layout and next action with the host.Host Liaison
3Complete permits, transport, public liability, brand, accessibility and data-capture checks for every stop.Operations and Risk Lead
4Deliver the portable activation and record questions and local priorities separately by location.Roadshow Team
5Transfer leads and issues to local owners and compare which adaptations produced useful action.Follow-Up Coordinator

3. Checks before we start

Things our club needs to check
QuestionWhat it means for usWho will checkDone?
Treat each site as a separate permission and safety environment; a previous venue approval never carries forward automatically.
Use a tested offline information and enquiry alternative wherever connectivity, device access or QR use may fail.
HIGH - multi-site permissions, transport, weather, message drift and orphaned local leads require central control.

After 30 days

Is it reaching the right people? Is anything unsafe, unfair or harder than expected?

After 60 days

Make one useful change based on what people have told you.

After 90 days

Compare with where you started. Decide whether to change it, continue it or stop.

Before your club says yes

Does the idea fit?

Talk with the people it is meant to serve and check that the need is real.

Who can say yes?

Name the person or group that can approve the work, spending and any safety arrangements.

Are people protected?

Check privacy, consent and safety. Collect only the information you genuinely need.

Can everyone take part?

Check the language, format, place, technology and cost for barriers.

Are the facts and permissions right?

Check names, claims, images, quotations, partner references and Rotary branding.

How will we learn?

Note where things stand now, check in at 30, 60 and 90 days, and decide what to do next.
