Member Thank-You Note Program

Members receive specific appreciation soon after their effort and feel their contribution was noticed.

What could this idea change?

It makes a wider range of contributions visible and strengthens the club's culture of appreciation.

It may suit: Members and volunteers whose contributions may be recognised, and the people nominating or celebrating them.

A simple way to start

  1. Approve the purpose, note guide, exclusions, moderation, complaint route, delivery, publicity and deletion rules. Who could lead it: Program lead and club board sponsor
  2. Provide accessible physical and digital note options with examples of specific appreciation and clear advice not to include complaints or private information. Who could lead it: Program and access leads
  3. Screen each note for harmful, confidential, commercial or complaint content and move concerns to the correct separate process without forwarding the message. Who could lead it: Designated moderator
  4. Deliver the note privately and let the recipient choose whether the sender is disclosed, a reply is enabled or any public use is considered. Who could lead it: Program lead
  5. Obtain specific fresh permission from sender and recipient before reading, displaying, photographing or publishing any note. Who could lead it: Communications lead

What should we look for?

  • After 90 days, review Member Thank-You Note Program. Look for a wider range of contributions being recognised, with consent, and for recipients reporting that the recognition felt appropriate.
  • Notes naming a specific contribution and why it helped.
  • Harmful, complaint and confidential content withheld and correctly redirected.
  • Recipients controlling attribution, response, public use and deletion.
  • No rankings produced and message copies deleted on schedule.

Before we say yes

  • Does it fit a real local need?
  • Can people take part safely and fairly?
  • Are the facts, permissions and Rotary branding right?
  • Who will lead it, and when will we review it?
