  • A quarterly meeting replacement with advance information, varied contribution routes, neutral facilitation and a response date.
  • A club willing to hear minority and non-attendee views rather than treating the room as a vote or a complete representation of membership.

Before you start

  • A short forum brief stating the questions, known facts, decision status, matters out of scope, participation influence and board response date.
  • An accessible invitation and adjustment plan with advance papers, plain-language formats and in-person, remote, written and supported contribution routes.
  • A neutral facilitator, a note-taking and attribution agreement, speaking and listening arrangements and a separate private route for concerns or personal matters.
  • A board-approved response process that records themes, minority views, unanswered questions, actions, referrals and formal decisions without converting attendance into authority.

At the end: At the 90-day review, compare the recorded measures with the starting point, resolve the listed governance holds and tell participants whether Quarterly Club Forum will change, continue or stop.
