Before the club starts
- Physical audit and an explicit retain, correct, replace or remove decision for each asset.
- Written placement authority, term, insurance or safety conditions and removal responsibility.
- Approved copy, legibility test, official artwork, partner permissions and full-size production proof.
- Qualified fabrication or installation where volunteer competence is not appropriate.

- Likely cost
- Source allowance $50-$200 covers limited signage production only; validate design, permission, fabrication, qualified installation, access, safety, maintenance, removal and contingency as total ownership cost.
- Lead time
- One week is suitable only to plan a minor approved update. Site authority, proof, manufacture and installation lead times govern the complete lifecycle.
- People
- One or two asset-program coordinators plus site authority, brand/content approver, qualified supplier or installer and named specialist, inspection and maintenance functions.
Controls and safeguards
- Proceed only when ownership, site authority, proof, installation method, acceptance and lifetime maintenance are recorded; remove an obsolete asset or defer fabrication when any of those controls is missing.
- Obtain controlled site and partner authority for the exact design, placement, term and removal plan.
- Test legibility, contrast, glare, height, viewing distance, pedestrian approach and the human-readable route in actual conditions.
